Five Features to Seek in Online Backup

October 5th, 2009 No comments »

Most small to medium-sized businesses don’t effectively backup all their business-critical data – some not at all. Many employ a manual process that involves CDs, removable hard drives or tape and subsequently, backups are only done once in awhile. Furthermore, any backups made must be taken off-site; if your office building burns down, those backups are rendered useless.

Online backup provides budget-strapped businesses an affordable, easy-to-use backup alternative. On the hunt for the perfect online backup provider for your small business? Here are the online backup five features your business shouldn’t go without…

Encryption

Not all backup providers are created equal, especially when it comes to encryption. Move right on past the services that don’t offer encryption, especially if your business handles high volumes of extremely sensitive information such as medical records. The service should also provide a unique encryption key so only customers can access their data; using one supplied by the provider means they have access to the data as well.

Archiving

Does the provider allow you to store multiple past versions instead of just the latest one? Let’s say your business has a text document or spreadsheet that is updated regularly. If a virus wiped out information or someone accidently deleted the latest updates, you should be able to go back and recover an earlier version.

Comprehensive Customer Service

As should be the case with any business service provider, be wary of an internet storage provider that offers customer help and support via email only. In the event of an emergency and your data needs to be restored quickly, you want a provider you can contact directly and get help from immediately. Look for providers that offer a handful of methods to contact the company including a direct telephone number.

Multiple Sites

Since data centers are susceptible to damage and disasters as well, any backup service provider you are considering should store backups in at least two locations, preferably hundreds of miles apart (simply across town doesn’t suffice).

Automation

Part of the appeal of online file storage is the automation of the process. Users simply select the files or documents to be backed up and determine a schedule of frequency: hourly, daily, weekly, etc. The number of providers that don’t offer automated backups may be slim but they do exist so make sure automation is part of the package.

Using Mozy to Restore Data from the Web

One of the easiest ways to use Mozy to restore your lost data is through the web restore feature. The first thing you’re going to do is go the the Mozy login page and sign in. Once signed in you need to click the My Computers link and on the next page click the Restore Files page. Once here you’ll want to select the File System tab and choose all the files you want to restore.

When finished click Continue in the lower right hand corner. You’ll now have to choose one of two delivery methods:

  1. Web Restore – Choose this option and Mozy will email you a link to download your files. If you selected a lot of files this may take a couple days, but remember that the link will only work for 7 days.
  2. DVD Restore – Mozy will mail you a DVD containing your files. However, there is a processing and handling fee for this option.

Once you have your files (either via the emailed link or DVD) you just save them to the desired location on your computer. Congratulations you should now be ready to rock and roll again.

PS If you still have problems try Mozy’s support documents here or hit them up on Twitter using the handle @Mozy.

Mozy Restore from DVD

To start off you’ll need the DVD which contains the directory structure of what has been backed up on the Mozy servers. This directory structure will match your hard drive’s. So here is the step-by-step:

  1. Insert the DVD into your DVD drive
  2. Open the DVD
  3. Select the file(s) you want to restore (hold the Ctrl button to select multiple files)
  4. Right-click and Copy files
  5. Go to the location where you want to restore the files, right-click and Paste files

Keep in mind that you will probably be hopping back and forth between the DVD and your hard drive quite a few times to restore the data to the proper locations. Also, if the file still exists you’ll be asked if you want to replace it. Make sure you mean it because this is irreversible. Let me know how it goes in the comments and include any tips that helped you out.
